CliniTrack ("we", "our", or "us"), operated by Glen Infotech, is committed to protecting the privacy of doctors, clinic staff, and their patients. This Privacy Policy explains what information we collect, how we use it, and your rights in relation to it.

By using CliniTrack at clinitrack.in or any associated mobile interface, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

1.1 Account Information

When you register, we collect your name, email address, phone number, medical specialty, and medical license number. Passwords are hashed using bcrypt (12 rounds) and are never stored in plain text.

1.2 Patient Data

Patient data (names, contact details, medical records, prescriptions, diagnoses, billing records) entered by doctors into CliniTrack is stored securely and belongs to the doctor/clinic that created it. We do not process, share, or use patient data for any purpose other than displaying it back to the authorised account holder.

1.3 Usage Data

We may collect anonymised usage statistics (page views, feature usage, error logs) to improve the product. This data contains no personally identifiable information (PII) and cannot be used to identify individual patients.

1.4 Cookies & Local Storage

CliniTrack uses browser localStorage to store your authentication token (JWT) so you remain logged in. We do not use third-party advertising cookies. Analytics cookies (Google Analytics) are used only in aggregated, anonymised form.

2. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the CliniTrack platform.
• Authenticate your identity and protect your account.
• Send transactional emails (password reset, account verification).
• Respond to support requests submitted through WhatsApp or our contact form.
• Comply with applicable Indian laws and regulations.

We do not sell, rent, or trade your personal information or patient data to any third party.

3. Data Storage & Security

All data is stored in a PostgreSQL database hosted on Neon (a US-based cloud provider). Data in transit is encrypted using TLS/HTTPS. We implement industry-standard security practices including JWT authentication, bcrypt password hashing, and role-based data access.

While we take all reasonable steps to protect your data, no internet transmission is 100% secure. You are responsible for keeping your login credentials confidential.

4. Data Retention

Your data is retained for as long as your account remains active. If you delete your account, all associated patient records, medical records, and billing data will be permanently deleted within 30 days of the account deletion request. Anonymised, aggregate statistics may be retained indefinitely.

5. Third-Party Services

CliniTrack may use the following third-party services, each governed by their own privacy policies:

• Neon — PostgreSQL database hosting.
• Google Analytics (GA4) — Anonymised website usage analytics.
• Cloudflare — CDN and DDoS protection.
• Razorpay / Cashfree (when payment integration is live) — Payment processing. Card and banking data is handled entirely by the payment gateway; CliniTrack never stores card numbers.

6. Your Rights

Under applicable Indian data protection law, you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data in your account settings.
• Request deletion of your account and associated data.
• Object to processing of your data in certain circumstances.

7. Children's Privacy

CliniTrack is a professional tool intended for use by licensed medical practitioners. We do not knowingly collect personal information from anyone under the age of 18. Patient records for minor patients may be created by the treating doctor in their professional capacity.

8. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of CliniTrack after changes constitutes acceptance of the updated policy. For material changes, we will notify you by email.
